[edit] Functionalities of Value Lists

[edit] List of Value Lists

Select menu entry [List of Value Lists]. All Value Lists available in the system, as well as all existing Change Requests for Value Lists will be displayed as list.

In this list, users have the possibility to:

[edit] Export certain Value Lists

  1. Press Export;
  2. under Tab “Data Source”, users may select:
  • the Export range: whether to export all Value Lists or a previously marked selection
  • the Export type: DIN 4002
  • the option of having the results sent by e-mail or not

  1. under Tab “Selection of attributes”, users may select:
  • the desired attributes of Value Lists to be exported
  • the export languages

[edit] View details of Value List SE

In order to view the details of a Value List SE click the respective Value List.

Within the displayed details-page of the respective Value List, users may view:

  • the attributes of the Value List: identification, preferred name, short name, definition, source of definition, note to definition, remark, data type, unit, value specification, type
  • related elements: extended attributes, change requests, used values, cross-references, images, documents. If one of these elements is not available for the respective Value List, the corresponding tab will be inactive.

In order to view the details of a Value List CR, click the respective Value List CR.

The details of the respective CR will be displayed under Tab “General”. Within this page the user has the possibility to edit the CR, save the changes and submit the CR.

Under Tab “Change Requests” the CRs related to the Value List CR will be displayed:

[edit] Change Textual Information

Select menu entry [Change Textual Information]. The system will display the list of all available Value Lists as well as change requests.

In this list, users have the possibility to change the content language (in which Value Lists will be displayed) and search after specific Value Lists (structure elements or change requests).

Select a Value List in the list by clicking it in order to create a CR for changing the textual information. The Change Textual Information dialog will open:

Fill in the fields with the new text and then press button “Save”.

Attention: The fields Preferred Name and Reason are mandatory fields!!!

System displays message: Change request saved. The new created change requests will be displayed under My Change Request.

[edit] Create Value List

Select menu entry [Create Value List]. The system will display the list of all available Value Lists as well as change requests.

In this list, users have the possibility to change the content language (in which Value Lists will be displayed) and search after specific Value Lists (structure elements or change requests).

When pressing the button “Create Value List”, the system will display the Create Value List dialog.

Mandatory fields are:

  • Preferred Name
  • Data Type: Integer (currency), Real (currency), Boolean (yes/no), Reference, Date, Integer (count), Integer (measure), Real (count), Real (measure), String, Time, Timestamp
  • Value specification: Explicit values, Coded values
  • Reason

[edit] Create Value List with Data Type Integer measure/Real measure

In case of Data Type “Integer measure” and “Real measure”, additionally a unit of measure has to be selected, in all other cases no unit of measure is allowed.

STEP 1: Select Data Type Integer (measure).

STEP 2: Press link “Select unit”.

STEP 3: Check in box in front of desired unit and press button Select.

STEP 4: Select Value specification and press button “Add”.


Note: Depending on the value specification (explicit or coded), follow the steps described under chapters 2.3.3 or 2.3.4 in order to add the desired value.

STEP 5: Fill in mandatory fields “Preferred Name” and “Reason”. Press button “Save”. “Change request saved” message will be displayed.

Note: Data type of the value has to match data type of property and the one of value list.


[edit] Create Value List with Data Type Integer currency/Real currency

In case of Data Type “Integer currency” and “Real currency”, additionally a currency needs to be selected.

STEP 1: Select Data Type Integer (currency).

STEP 2: Press link “Select currency”.

STEP 3: Check in box in front of desired currency and press button Select.

STEP 4: Select Value specification and press button “Add”.

STEP 5: Fill in mandatory fields “Preferred Name” and “Reason”. Press button “Save”. “Change request saved” message will be displayed.

Note: Data type of the value has to match data type of property and the one of value list.


[edit] Create Value List with Explicit Value

If Value Specification is EXPLICIT, the system shows a dialog where the user may enter values and optionally translated preferred names for the values (depending on preferred name customization).

STEP 1: Choose Value Specification Explicit Values.

STEP 2: Press button “Add”:

STEP 3: Insert a Value and a Reason and press button “Save”. Preferred Name is not mandatory. The “Change request saved” message will be displayed.

Note: A Value can be removed from a Value List by pressing button “Remove” within the Create Value List dialog and replaced by another one, by pressing again button “Add”.

STEP 4: Fill in mandatory fields within the Create Value List Dialog and press button Save. The “Change request saved” message will be displayed.

[edit] Create Value List with Coded Value

If Value Specification is CODED, adding values by selecting existing values or CRs for existing values in the value list is possible (coded values have an identity and are reusable).

STEP 1: Choose Value Specification Coded Values.

STEP 2: Press button “Add”:

STEP 3: Select Value/CR for New Value or press button “Create Value”. If the “Create Value” button is pressed, the Create Value Dialog shall open.

STEP 4: Fill in mandatory fields, choose for Value Specification “Coded values” and press button Save. The “Change Request saved” message will be displayed.

STEP 5: Fill in mandatory fields within Create Value List Dialog and press button Save. The “Change Request saved” message will be displayed.

[edit] Remove Value List

Select menu entry [Remove Value List]. The system displays a list containing all available Value Lists.

In this list, users have the possibility to change the content language (in which Value Lists will be displayed) and search after specific Value Lists (structure elements or change requests).

User selects a Value List from the list – the system displays the Remove Value List dialog:

Under the tab “Cross-References”, all instances where the Value List is used are displayed, so that the user can evaluate the impact the operation “Remove Aspect” will have on the system.

Fill in the mandatory field “Reason” and press save -> “Change request saved” message will be displayed.

The CR for Removing the Value List can be viewed under “My Change Requests” or “List of Value Lists”.


[edit] Assign Value to Value List

Select menu entry [Assign Value]. All Value Lists available in the system, as well as all existing Change Requests for new Value Lists will be displayed as list.

In this list, users have the possibility to change the content language (in which Value Lists will be displayed) and search after specific Value Lists (structure elements or change requests).

Select one Value List (SE or CR) in the list by clicking it.

In the next dialog, all Values available in the system, as well as all existing Change Requests for new Values, will be displayed as list.

In this list, users have the possibility to change the content language (in which Values will be displayed) and search after specific Values (structure elements or change requests).

To proceed, use one of the following approaches:

1. Select the Value/Values (structure elements or change requests) to be assigned to the Value List by checking the box in front of it/them and press button “Select”.

2. If several Values and/or Change Requests for New Values are to be assigned to the Value List:

Select the Values (structure elements) to be assigned to the Value List by checking the box in front of them and press button “Add to collection”. For structure elements, this button is located above the list of SE-Values.

Select the Change Requests for New Values to be assigned to the Value List by checking the box in front of them and press button “Add to collection”. For change requests, the button is located under the header “Change Requests”.

Notes:

1. By adding Values SE or CR to collection, user will have an overview of all Values (SE or CR) to be assigned to the Value List under “Collection of assignments”.

2. Values (SE or CR) can be removed from the Collection of assignments by pressing button “Remove selection” (only marked Values SE and CR will be removed) or “Remove all” (all Values SE or CR will be removed from the Collection of assignments).

As next step, press button “Select”.

System opens the “Assign value to value list” dialog.


Notes:

1. By pressing Remove, the respective Value SE or CR will be removed.

2. By pressing Select, user can select another Value List to which Values will be assigned / other Values to be assigned to the Value List.


Fill in the field “Reason*” and press Save.

System displays message: Change request saved. The new created change requests will be displayed under My Change Request.

[edit] Withdraw Value from Value List

Select menu entry [Withdraw Value]. System displays the list of Value Lists SEs.

Click on the Value List from which you want to withdraw the value.

Check in the box in front of the Value you want to withdraw and press button Select. The system will open the “Withdraw Value from Value List” dialog.

Notes:

1. By pressing Remove, the respective Value SE will be removed.

2. By pressing Select, user can select another Value List from which Values will be withdrawn / other Values to be withdrawn from the Value List.


Fill in mandatory field “Reason” and press button Save.


System displays message: Change request saved. The new created change requests will be displayed under My Change Request.

[edit] Other Functionalities Related to Value Lists

[edit] Assign Value List to Property

Select menu entry [Assign Value List] under menu entry [Property]. The system displays the list of Properties SEs and CRs.

Choose the Property to which you want to assign the Value List by clicking on it. The system will now display a list containing all available Value Lists SE and CR.

Select the Value List SE or CR that you want to assign to the Property by checking in the box in front of the respective Value List and clicking button Select. The system will display the Assign Value List dialog.

Note: By pressing the Select buttons, user can select another Value List/Property for which he wants to create the change request of assignment.

Fill in the mandatory field “Reason*” and press Save.


[edit] Withdraw Value List from Property

Select function [Withdraw Value List] under the menu entry [Property]. The system displays the list of Properties SEs.

Choose the Property from which you want to withdraw the Value List by clicking on it. The system will display the Withdraw Value List Dialog.

Fill in mandatory field “Reason” and press Save. The CR for “Withdraw Value List from Property” will be saved and can be viewed under “My Change Requests”.
